Tap a PartyPass at the door

A host at the door taps each arriving guest’s phone with a PartyPass tag, or mounts a tag for guests to tap. The check-in link only works on the phone that was tapped, which means nobody can text their way onto the attendance list.

Scan a printed QR code

Print a QR code of your event’s check-in page and put it by the door. Guests scan it, allow the browser’s location prompt, and tap I’m Here — Check In. Luau confirms they are within about 150 meters of the venue before it counts.

Arrive with the iPhone app

Guests who use the Luau iPhone app and allow location are checked in by showing up. During the check-in window the app watches a 200-meter area around the venue. When they arrive, Luau marks them Nearby and nudges them to confirm. No tap, no scan.

01Set up
Turn on check-in

In the event’s PartyPass Settings, turn on Use PartyPass for Check-in, Location Check-in, or both. Choose when check-in opens: at event start, or 30 minutes, 1 hour, 2 hours, or 4 hours before. It closes when the event ends.

02Doors open
Guests check themselves in

A tap at the door, a scan of the QR, or just arriving with the iPhone app. Each guest signs in once, so every check-in belongs to a real Luau account rather than a name someone wrote down.

03During
Watch the list fill

The event page shows who is in, how they got in, and who is still missing, with a Check in button next to each missing name. You only step in for the people who need it.

04After
Get the recap

Two hours after check-in closes, hosts and co-hosts get “X of Y guests checked in” by push and email, with walk-ins and no-shows listed. On iPhone, Confirm Attendance lets you correct anything.

Walk-ins, allowed or not

With Allow Walk-ins on, a guest with no RSVP is RSVP’d Going as they check in, even if the event is full. Turn it off and only guests who RSVP’d can check in.

Multi-day events

One check-in per guest per day, by any method. A weekend retreat gets a day-by-day attendance record instead of a single tick.

Hosts can correct the record

Hosts and co-hosts can check anyone in from the event page, undo a check-in, and keep doing both after the event. On iPhone, Confirm Attendance shows who actually came and how Luau knows.

No-shows get a note

Guests who said Going but never checked in get a short “Sorry you didn’t make it” by push and email, unless the event required a PartyPass tap, where a missed tap is final.

Attendance counts toward connections

Luau’s mutuals graph weighs a checked-in hang more than an RSVP, and a Going RSVP with no check-in at a verified event counts for nothing. Showing up is what builds the relationship.

Location data stays narrow

Location is stored only for events with location check-in on, only from RSVP’d guests who allowed it, and only during the check-in window: the check-in position, its distance from the venue, and the nearby samples. It is not a movement log, and Luau never sells location data.

Need the invitation itself to be secure too?

A PartyPass tag invites guests before the event and checks them in at the door. Every tap is a one-time link that can't be forwarded, so both the guest list and the attendance list are exactly who you tapped.

Questions hosts ask about check-in.

How do I track who actually attended my event?
Turn on check-in in the event’s PartyPass Settings. Guests check themselves in by tapping a PartyPass tag, scanning a printed QR code, or, with the Luau iPhone app and location on, simply by arriving. The event page shows who is in and who is not, and you get a recap afterwards.
Do guests need an app to check in?
No. A PartyPass tap or the printed QR code opens the check-in page in the browser, where the guest signs in and taps I’m Here — Check In. Only automatic, no-tap check-in needs the Luau iPhone app with location allowed.
Do I have to run the door myself?
No. Guests do the check-in: tap, scan, or arrive. You watch the list fill on the event page and use the Check in button only for people who need help.
How does automatic location check-in work?
Guests who allow location Always for the Luau iPhone app and turn on location personalization are checked in by arriving. During the check-in window the app watches a 200-meter area around the venue. Within about 150 meters, Luau marks them Nearby and sends “Looks like you’re here! Tap to check in.” Confirming makes it a confirmed check-in. Nothing runs outside the window.
When does check-in open and close?
You choose: at event start, or 30 minutes, 1 hour, 2 hours, or 4 hours before. Check-in stays open until the event ends. Multi-day events allow one check-in per guest per day.
What about guests who never RSVP’d?
With Allow Walk-ins on, checking in RSVPs them Going at the same time, even if the event is full. With it off, they are told the host is only checking in guests who RSVP’d.
Can someone check in for a friend who isn’t there?
Not with PartyPass. A PartyPass check-in is a verified tap on one phone, and the link only works there. A QR check-in needs the guest’s own signed-in account and a location within about 150 meters of the venue. That is the difference from a QR code that opens a form, which anyone can text along.

What location data does Luau store?
Only for events with location check-in on, only from guests who allowed location and RSVP’d, and only inside the check-in window: the check-in position, its accuracy, the distance from the venue, and the proximity samples sent while nearby. Luau never sells location data.
Does check-in cost anything?
No. Check-in, QR check-in, location check-in, and the attendance recap are included with every free Luau event. PartyPass tags are sold separately.
